Club Accounts Role
Position Overview
The role is responsible for oversight the organisation’s financial activities, ensuring accuracy, compliance, meeting statutory obligations. Role supports budgeting, reporting and financial analysis.
Key Responsibilities
Financial Operations Oversight
- Oversight of ledger recording for accounts payable and accounts receivable transactions.
- Perform bank reconciliations and maintain accurate financial records.
- Review payroll preparation and support payroll compliance procedures.
- Assist in preparing annual budgets for Management, Audit and for Gaming Annual returns.
- Monitor expenditure against budget and monitor variance analysis.
Reporting & Compliance
- Prepare monthly, quarterly, and annual financial reports to management to meet prearranged deadlines.
- Prepare Statutory Annual reports for Audit and filing.
- Process Statutory returns for Wages, Gaming, GST, WHT and Department of Statistic returns. Notify office staff for timing of relevant payments.
- Liaise with Auditors to ensure compliance with accounting standards and internal controls.
- Assist with external audits and prepare required financial documentation.
Systems & Process Improvement
- Maintain accuracy of finance systems and data.
- Maintain Chart of accounts and GST tracking compliance
- Liaise with office staff for ledger queries / corrections / amendments etc.
- Ensure timely reconciliation of key Balance sheet accounts (list includes)
- Trustees reconciliation balance

- EFTPOS
- Float
- Assist reporting for tournaments if required.
- Identify and implement process efficiencies.
- Support digital transformation of finance operations where required.
Skills & Qualifications
- Strong understanding of accounting principles.
- Strong understanding of gaming finance regulations
- Proficiency in Excel and financial software (e.g., Xero, MYOB, SAP)
- Ensuring all policies and procedures are adhered to.
- Supporting management and staff with day-to-day administrative tasks as required.
Membership
· Assisting new members with the joining process and providing all required information.
· Coordinating membership induction communications via email/phone call.
· Processing membership payments received in the office or through internet banking.
· Maintaining accurate member records in Bepoz, including the addition of new members and removal of lapsed memberships to keep the system current and easy to navigate.
· Issuing new membership cards/numbers and updating the door system to ensure new members are granted entry access.
· Generating Bepoz reports, including membership lists and filtered data, for operational use.
· Reviewing and removing expired membership applications to maintain current records.
Communications & Marketing
· Producing a weekly club booklet for in-club distribution and a digital update (via Mailchimp) with club updates, events and key member information.
· Managing the Club’s digital platforms, including the website and Facebook page, ensuring all content is current and enquiries/messages are responded to promptly.
· Creating and displaying promotional content (posters and digital graphics) across internal media screens, table talkers, in-club signage and external electronic signage.
Administration
· Answering incoming phone calls and responding to enquiries or directing callers to the appropriate staff member.
· Collecting club mail from the post office and purchasing the weekly lotto draw prize.
· Regular printing and cutting of new membership applications and barrel draw slips.
· Ensuring office and bar diaries are updated with upcoming functions and events to keep all teams informed and aligned.
· Updating bar and restaurant tills with specials, promotions and menu changes.
· Assisting the club promotional activities
· Supporting all sections and club tournaments with materials including tournament player bar cards, raffle posters, table numbers, score cards and restaurant order lists etc…
· Assisting with daily cash reconciliation on assigned days.
· Weighing gaming hoppers during cash-up procedures each morning.
· Preparing and organising TAB and gaming tills for morning operations.
· Assisting with payroll processing.
