Explaining the move to online registrations

Over the past few years, Clubs New Zealand has moved to online registrations for most events, training programmes, conference and area meetings.

As expected we've heard a range of feedback about this change. Some members appreciate the convenience, while others question why online registration is necessary when an email or phone call has seemingly worked for years.

Change is rarely easy, particularly in a sector built on strong relationships and long-established ways of doing things. However, there are some important reasons why Clubs New Zealand has adopted a more consistent approach to event registration. 

At its heart, online registration is about ensuring we have accurate information at the right time. It helps us plan and deliver events more effectively, meet our reporting and compliance obligations, and make better decisions about the services and activities we provide to member clubs.

It's not just about counting heads

While event planning is an important part of why we are making change, online registration also supports a range of responsibilities that Clubs New Zealand must meet.

As an incorporated society, Clubs New Zealand has reporting obligations under the Tier 3 reporting framework, including the requirement to prepare s Statement of Service Performance. We also have taxation, audit and governance obligations that require us to maintain accurate records and demonstrate the value and reach of the services we provide.

To do that effectively, we need reliable and consistent information.

Historically, attendance information has been collected in many different ways. Sometimes we receive club names only. Sometimes individual attendee names. Sometimes information is provided after the event, and occasionally it arrives as a photograph of a sign-in sheet that can be difficult to read or interpret. 

None of these approaches are wrong, but they do make it difficult to produce consistent reporting, identify participation trends, evaluate programmes and demonstrate the outcomes we are achieving on behalf of members.

Online registration provides a standard process that captures consistent information across all Clubs New Zealand events. It gives us better data, improves reporting accuracy and helps ensure we meet our compliance obligations.

Better information helps us make better decisions

Registration data isn't collected simply for administrative purposes. It helps us understand which events members are attending, what regions are engaging strongly, and where participation may be declining.

It helps us identify emerging trends and make informed decisions about where to invest time, resources and training opportunities.

Without reliable information, these decisions become based on assumptions rather than evidence and as we all know good decisions require good information.

It also helps host clubs

One concern we have heard is that online registration can feel like it takes something away from host clubs or local organisers. That is certainly not the intention.

While events may be delivered in partnership with host clubs, they remain Clubs New Zealand events. The Board and National Office have a responsibility to ensure events are well planned, appropriately resourced and delivering value to members.

Having reliable attendance information before an event helps us do exactly that.

It allows host clubs to prepare appropriately, helps ensure sufficient resources and catering are avaliable, enables better communication with attendees and provides the information needed to evaluate whether events are meeting member needs.

The objective is not to reduce the role of host clubs or volunteers. Rather, it is to ensure everyone involved has the information they need to deliver a successful event.

We're still learning too

We know not everyone enjoys registering online, and we accept that any change in process can be frustrating. However, the move to online registrations is not about making things harder for clubs. It is about helping Clubs New Zealand can plan effectively, meet our reporting obligations, make informed decisions, and continue delivering events and services that provide value to members. 

We also acknowledge that no system is ever perfect. Where improvements can be made, we will continue to make them and we welcome constructive feedback from members.

Thank you to everyone who has embraced the change and worked with us as our systems evolve. The goal is not to introduce new processes for the sake of it. The goal is to ensure Clubs New Zealand has the information needed to make better decisions, demonstrate the value of what we do, and deliver better outcomes for clubs.
